The Role

The Role:

The Business Operations Coordinator is a proactive problem-solver with excellent organization and project management skills and a passion for creating a positive and resilient workplace. Responsible for Administrative leadership, IT coordination, and People operations, this position is pivotal in ensuring the smooth and efficient day-to-day operations of thinkPARALLAX. 

At thinkPARALLAX, we believe in finding the right long-term mutual fit, where both the company and the employee thrive. This full-time role begins as a temporary, non-exempt position with a clear path to regular employment within four (4) months, based on performance and values alignment. 

This role sits on our Operations Team and reports to the COO.

Responsibilities

Your responsibilities will include:

  • Administration
    • Create and execute contracts with clients and vendors, collaborating closely with the COO, Finance Manager, and Growth Community.
    • Maintain group health insurance policies, and oversee open enrollment periods.
    • Oversee and manage business insurance policies, such as workers’ compensation policy, cybersecurity, and EPLI, among others.
    • Own our team Google Calendar, ensuring recurring team meetings, vacations, birthdays, and other key information is maintained.
    • Work with registered agents and Finance Manager to set up offices in other states when needed.
    • Support the Sustainability Committee with the development of our Annual Benefit Report.
    • Lead the B Corp recertification process every three years, working closely with relevant team members.
    • Maintain our Administrative Playbook with up-to-date processes and procedures.
  • IT
    • In partnership with our IT consultant and COO, ensure thinkPARALLAX has the systems and practices in place to uphold the security of our technology and the information it stores/transfers.
    • Resolve IT challenges with our external IT Consultant.
    • Manage Google Workplace, as well as other IT software and tools used by the team.
    • Lead IT training for new hires.
    • Manage media subscriptions, software licenses, log-in credentials, and routine passwords updates.
    • Build and maintain our IT Playbook.
  • People & culture
    • Coordinate company celebrations and events with the Leadership Team, including the annual retreat, our peer recognition program (Claps & Snaps), birthday and onboarding celebrations, and other programs.
    • Ensure exceptional new hire experiences by organizing onboarding activities, preparing onboarding packages, and facilitating orientation.
    • Assist the COO in coordinating recruitment, performance management, as well as learning & development activities as needed.
    • Create and manage monthly team pulse surveys and the annual employee survey.
    • Manage sensitive documentation and employee information.
    • Coordinate compliance activities with our COO and HR partner, including policy updates and required training (eg, Employee Handbook, IIPP, Workplace Violence Prevention Plan, etc.).
  • Executive assistance
    • Provide ad hoc support to our CEO, including organizing his travel and calendar.

Qualifications

Qualifications:

  • Exceptional project manager.
  • Strong interest in People operations.
  • Working knowledge of Google Workspace and Apple Business Manager.
  • Familiarity with Bitwarden is a bonus.
  • Ability to maintain confidentiality of sensitive information.
  • Collaborative and team-oriented, though able to draft work products independently.
  • Critical thinker with a solution-oriented approach.
  • Excellent organizational skills.
  • Excellent verbal and written communication skills.
  • Ability to function well in a remote-first, fast-paced environment.
  • Ability to manage time-sensitive matters that may arise outside of typical business hours.
  • Based in CA, CO, IL, MI, NC, NY, OR, TX, VA, or WA.

Compensation

Compensation package:

We encourage our employees to lead a healthy and balanced life, and our benefits are designed to promote this aspiration. A generous benefits package is part of regular, full-time employment. 

Compensation for this temporary position is as follows:

  • Hourly wages for this position range from $24 - $36, based on level of competency.
  • Nine (9) days of paid sick leave annually, which will start accruing on your first day.
